The Position Requires Handling Of Confidential Personnel And Financial Matters While Adapting To Frequent Changes In Priority Of The Workflow

The Business Compliance Project Assistant assists with the efficient and effective operation of the Business Administration Section through complex administrative and clerical support.

  • Compose and send an email on behalf of the Territorial Secretary for Business Administrator (SBA) and Director of Investor Relations and Business Compliance (DIR/BC).
  • Oversee project compliance timeline grid and communicate deadline to Committee participants.
  • Coordinate distribution of correspondence related to highly confidential materials.
  • Assist in the completion of territorial debt financing documents.
  • Coordinate release of the Territorial Consolidated Financial Statements.
  • Assist in completing/compiling reports relevant to the renewal of the Corporate Credit Rating.
  • Liaison with the THQ (Territorial Headquarters) Legal Department and DIR/BC regarding potential legal matters affecting business compliance.
  • Gather data from various project committee members and assemble data to present to DIR/BC.
  • Assemble compliance and project materials and business compliance projects which include scheduling and coordinating meeting details.
  • Coordinate project management bring-up and follow-up for DIR/BC.
  • Assist in compiling business compliance results for DIR/BC presentation to THQ Administration (TC, CS and BA).
  • Assist DIR/BC in preparing PowerPoint presentations related to Portfolio and Business Compliance projects.
  • Director complete items that are time sensitive, require special handling or are high priority correspondence, particularly when related to matters of urgency or confidentiality for the Territorial Commander, Chief Secretary or Secretary for Business Administration May be required to render decisions in unusual or priority situations, consulting with the SBA and DIR/BC, as necessary.
  • Assist SBA Administrative Assistant in populating BAC database; organizing/compiling information and materials from internal and external sources, distributing items to department heads and commands as appropriate; updating the USC Finance Minutes Database with new and revised minutes.
  • Assist in informing Unit Commanders, Divisional Financial Secretaries and others of details regarding changes in the Finance Minutes.
  • Assist in maintaining investment files and records and follow up on any missing statements or documents.
  • Initial organization and prep of all investment Subscription agreements, working directly with the Portfolio Analyst to complete.
  • Schedule Portfolio Manager, Banking, Auditor and other vendor meetings.
  • Schedule internal TSA (The Salvation Army) meetings regarding general business activities and business compliance.
  • Compile Investment Advisory Board (IAB) package for quarterly distribution.
  • Organize details for quarterly IAB meetings (room reservations, catering, calendar invites).
  • Assist in preparing IAB recommendations for (Territorial Finance Committee) TFC agenda.
  • Organize Annual Portfolio Manager Meeting details (conference center reservations, catering, program preparation, calendar invites)
  • Coordinate collection of all K-1 activity related to investments; release of investment K-1 activity to the Territorial Tax Accountant and External Audit firm.
  • Assist Portfolio Analyst with Investment Fee, Capital Call, Distributions, new account opening, and account closing notifications/letters.
  • Coordinate the receipt, release, and approval of all corporate financing invoices to THQ Finance for payment.
  • Assist in completing travel arrangements for the BA and DIR/BC.

Education & Certification

High School diploma or equivalent or Associates Degree required; Bachelor’s degree preferred

Experience

5-7 years’ experience in a complex, executive office environment.
