General Summary

Responsibilities

The Event Compliance Specialist assists the Assistant Director, Event Compliance for Fiscal & Regulatory Management in managing, updating, and creating all event-related policies/procedures and works closely with the Division of Philanthropy Business Units to ensure compliance with these policies.

Responsible for assisting the entire Division with reaching financial goals.

Primary Duties And Responsibilities

Assist in reviewing, tracking, and monitoring 700+ annual third-party fundraising events;
Regularly draft endorsement, recognition & CaRe letters for third-party fundraising events;
Assist in enforcing all third-party event policies and procedures within Philanthropy and act as the secondary point of contact for Business Unit staff;
Monitor DFCI Event Support inbox and respond to applicable inquiries;
Provide gift processing instructions for miscellaneous and other third-party fundraising events on a daily basis; assist in the creation of event-related appeal codes;
Prepare gift reports for upload into ClearView and issue acknowledgment letters for 3,000+ endorsed event gifts;
Act as site administrator for various online payment processors and fundraising websites;
Assist in enforcing all trips and prizes policies and procedures, respond to questions, draft certificates of intent as applicable, and award prizes valued at $600+ (e.g. American Airlines Mileage Certificates);
Regularly draft official rules for all contests conducted by the Jimmy Fund Business Units & Division of Philanthropy;
Oversee mobile and onsite payment processing to ensure compliance with PCI standards and reconcile for accurate gift processing; facilitate staff training as needed;
Assist the Assistant Director with third-party event outstanding proceeds notices as requested;
Utilize the Events Management System (EMS) to track third-party events;
Assist in facilitating the annual audit of all third-party events as requested;
Assist in facilitating the annual survey of all applicable financial institutions to ensure the accuracy of current bank account inventory;
Regularly attend third-party fundraising events as a volunteer and representative of the Jimmy Fund;
Perform all administrative tasks related to third-party event compliance;
Maintain highest level of donor confidentiality and accountability.

Supervisory Responsibilities

Reports to the Assistant Director, Event Compliance for Fiscal & Regulatory Management. This position will seek major decision-making authority from direct supervisor, however, independent decision-making on day-to-day tasks and exercising good judgment is required.

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelors degree preferred, with 1-3 years of professional experience and previous exposure to fiscal and/or regulatory affairs preferred.

Knowledge, Skills, And Abilities Required

Excellent written and verbal communication skills are necessary along with a strong orientation to customer service. Superior organizational skills and ability to manage and juggle a variety of projects are also key, as is a directed and self-starting attitude with the ability to work independently as well as part of a team. Solid computer skills and competency in Microsoft Word/Excel/PowerPoint are absolutely necessary, as is strong attention to detail.
